NEWSLETTERS: Often a newsletter is the most effective format for clients to use when communicating with their clients, customers, prospects, employees, shareholders and others.

Many clients with whom we work prefer the newsletter format. Often, even when a company's marketing and communications budget will easily support a more elaborate form of communication, such as a full-color magazine with glossy paper and lots of color photography, a newsletter format is selected because it seems more "appropriate" for the job at hand.

FORMAT: Hi-tech companies, for example, often prefer the newsletter look. Many companies consider a newsletter to be the "correct" format for conveying technical information. A cruise line, on the other hand, is more likely to select a glossy magazine format with a great deal of color photography.

PRICE: Depending on the size and style of the publication, newsletters are often cheaper to print and require less postage for mailing. Their brevity is also sometimes preferred by the reader, depending on the subject matter. Newsletters work well for banks, hi-tech companies and associations for whom we work.

TIMING: A newsletter may also have a shorter production schedule if lead times are an issue. A well-done newsletter provides customers, employees or others with clear, concise, timely, and useful information. Properly designed it becomes a no-nonsense, objective publication providing expert information. Your company becomes a provider of information, which has perceived value.

VARIED DISTRIBUTION: The newsletter format may also be desirable under certain circumstances because it is lightweight and can be folded, thus it can be distributed in a variety of ways: mailed, distributed in stores or branch offices, included with product, and so on.

Depending on the publication's mission, the publishing frequency can vary: monthly, bi-monthly or quarterly. It is not generally necessary to mail every month to create an effective communications or marketing enhancement program. Many clients we have worked with mail four to six times per year. A newsletter that is used to sell products such as computer hardware, for example, is often mailed more frequently if the sales generated by the newsletter mailings warrant a more aggressive mailing program.

A well managed newsletter program enables a company or organization to communicate frequently with its affinity group and to receive valuable feedback. It is an excellent vehicle for harnessing the power of your database, or for building a database. Publishing a newsletter is one of those jobs which is generally better done when out sourced. Somehow, when it is done in-house, it becomes one of those jobs that never seems to get done because no one has the time to do it. Additionally, because publishing is our business, and we can spread costs, BPC can usually produce a higher quality publication, for less money, than a company is able to do in-house.
